Expert assistance from start to finish

Consultation should not end with a report. When you work with Varian, your consultant will be there for your systems go live date and remain available for follow up to augment our regular help-desk service.

You will have one point of contact, with no hand offs between consultant and the applications trainers - in most cases, the consultant is the trainer. Your consultant will also act as a liaison for you between your project manager, system interface experts and installation teams. Our hands on approach to seeing the project through enables a smooth transition from go live to sustained performance.

  • Paperless process implementation (With ARRA/HITECH focus)

    Technology is changing the face of healthcare. Moving from paper to electronic records can transform your clinic—reducing paperwork, cutting administrative costs, and making clinical information more accessible. However, going paperless is a complicated task that touches nearly every part of your organization.

    Varian consulting is designed to guide your clinic through each stage of the transition to help enable a successful conversion to paperless processes. Your consultant will generate a customized report detailing your current paper forms and how they will be handled digitally, and then support your staff in converting those forms to the ARIA platform.

    If your facility is part of a larger organization or clinical network, you may have unique information management and reporting requirements. You’ll appreciate the way Varian consultants are able to customize paperless processes to meet these needs.

  • ARRA HITECH Gap Analysis

    In a busy clinical environment, sites may struggle with the interpretation of the ARRA/HITECH guidelines and how the ARIA system can be used to meet these requirements. Varian Consulting Services is a purchasable option available to customers to assist with this important initiative. The Consulting Service may include a gap analysis of current processes; recommendations on the utilization of ARIA features that are part of the meaningful use requirements and workflow optimization.   • New site implementation

    Building a new oncology center or adding radiation therapy to an existing oncology service line can be a complex and lengthy project. Project timelines are often tight, yet systems and processes must be carefully aligned with clinical objectives and business goals. We can help throughout the entire project, from process design to the opening of the facility.

    Our implementation consulting service for new sites is designed to help you successfully implement your new Varian oncology suite. We’ll meet with your clinical staff to establish the clinical process flow, determine how the Varian system will be used, as well as customize your software. Consultation is tailored to your site’s specific requirements and typically includes multiple visits, including a follow-up session just prior to your system go-live date.

  • Optimizing Your Best Practices

  • Converting to the ARIA oncology information system

    Radiation oncology centers at hospitals of all sizes are converting to the Varian ARIA oncology information system to improve their workflow and enable smooth patient care. Varian consultants can help you maximize the benefits of moving to ARIA so that it is quickly embraced by your clinical staff. Working with Varian is the best way to plan and facilitate your implementation.

    We work closely with your staff to facilitate a smooth ARIA transition and help you implement any related technologies such as the Eclipse™ treatment planning system and On-Board Imager® kV imaging system. ARIA conversion consultancy includes comprehensive services, from initial evaluation to administrative configuration of the ARIA system. Your consultant will participate in all phases of ARIA on-site training, will offer advice on data transfer to the new systems, and will streamline your processes for all-around performance improvement.

  • Data Management (Customized Reporting needs)

    Data management is an integral component in the implementation of an electronic medical record system (EMR). Making sense of the data, having the ability to monitor statistical trends and reporting on the data is fundamental asset in this information systems driven environment.

    ARIA collects data at the point of care and makes it readily available for outcomes analysis and reporting. Patient information is tracked from initial diagnosis throughout treatment and follow-up. Varian approves the use of the Infomaker reports author tool in order to develop queries, reports and graphs from the ARIA database. Corporate data becomes clearer, more readily available, and more visual than ever before. You will, with the help of our specialists, have the ability to create professional, well designed reports for patient registration, scheduling, billing, treatment history as well as using diagnosis specific date to segment patients and evaluate long term outcomes. Our specialists understand the technical capabilities of the ARIA system and will work closely with you in understanding your reporting objectives. Upon the completion, a thorough review process will be completed to ensure your satisfaction is met.     In all cases, the customer must have a license for the Infomaker reports author tool purchased and installed in order for the reports to be created.

  • Custom services

ARRA/HITECH Updates

The American Recovery and Reinvestment Act (ARRA), or Stimulus bill, passed in January 2010 with provisions intended to spur adoption of Electronic Health Records (EHRs) by health care providers.

Specifically this legislation included the HITECH Act, which provides for Medicare and Medicaid incentive payments starting in 2011 for physicians who are considered meaningful users of certified electronic health records. In addition, hospitals are eligible for a base payment of $2 million plus an additional amount based on their Medicare utilization rate. Other incentives are available through Medicaid and other programs.
